Welcome to the APAIE 2027 Conference and Exhibition, Exhibitor Manual. It has been designed to assist you in your role as an exhibitor by answering your pre-event and onsite enquiries, and contains important information from the conference organisers and exhibition service providers.

Late order surcharges will be applied to additional exhibitor orders submitted to MITEC. The MITEC Exhibitor Online Order deadlines are as follows:

    1. Orders must be submitted by 5 March 2027 (normal price as per online forms).
    2. Order received on 6 March 2027 to 12 March 2027 will incur additional 20% surcharge for late order.
    3. Orders received on 13 March 2027 to 19 March 2027 will incur additional 50% surcharge for late order.
    4. Orders received on 20 March 2027 to 24 March 2027 will incur additional 100% surcharge for last minute orders onsite.
    5. NOTE: Except for Stand Catering and Pack Meals orders - the ordering period will close on 10 March 2027 before 1800 hrs.

Conference and exhibition venue and information

Malaysia International Trade and Exhibition Centre (MITEC)

The venue for APAIE 2027 is the Malaysia International Trade and Exhibition Centre (MITEC), located within the Jalan Duta Government Complex in Kuala Lumpur.

The exhibition will be held in Halls 9–11, on Level 3. Registration will also be on Level 3, outside the Ballroom 2. Conference concurrent sessions will be held in the rooms located on Level 1A.

Terms and conditions

Things you need to know
  • The extent of refunds will be a matter for the Host Organisation (the underwriter) to decide. We have no responsibility for making refunds, and attempts to cancel cheques or credit card payments will be rejected by our bank.
  • You (the sponsoring or exhibiting organisation), by returning the sponsorship booking form or the exhibition booking form, accept these Terms and Conditions.
  • We/Us (MCI Australia Pty Ltd, 3A Level 3, 200 Creek Street, Brisbane, QLD 4000, ABN 76 108 781 988), representing the Organising Committee and the Host Body (APAIE), do not accept responsibility for any errors, omissions or changes.
  • Details may change without notice. Please refer to the website (apaie.net) for the latest information on the event.
  • MCI has been engaged by the Host to provide event management services in respect of the Event (APAIE 2027 Conference and Exhibition).
Financial facts
  • Phone or unpaid bookings will not be accepted.
  • We will issue a tax invoice which is payable within 14 days. If you miss the payment date, any time-dependent discounts will be forfeited, i.e. you will be billed at the next highest level (early rate to standard, etc.).
  • You will not receive any sponsorship or exhibition entitlements, including allocation of booth location (allocated in order of sponsorship/exhibition level), until all monies have been paid.
  • All sponsorship and exhibition prices are in USD.
  • Payments can be made via EFT.
  • If you pay by electronic funds transfer, you agree to pay any bank charges and must include these in the amount you transfer.
  • If you pay by credit card, a payment processing fee of 3.5% to 5.5% (depending on card type) may be applied. Please note that from 1 October, payments can only be made via EFT.
  • You must notify us in writing if you need to cancel.
  • Cancellations made before 30 September 2026 will be refunded less a 15% cancellation fee. Cancellations received between 30 September 2026 and 20 January 2027 will be refunded less a 50% cancellation fee.
  • Cancellations made after 20 January 2027 will not be refunded.
  • Your non-payment does not cancel your contractual obligations to us.
  • No exhibitor shall occupy allocated space until all monies owing to the organiser are paid in full.
In the unlikely case that the event cancels
  • The Sponsor acknowledges and agrees that the Event may be cancelled from time to time for any reason, including but not limited to Intervening Occurrences, either by MCI or by the Host.
  • The Sponsor agrees that neither MCI nor the Host is liable for any losses, damage, liability or claim caused to the Sponsor directly or indirectly by cancellation of the Event for any reason whatsoever.
  • If the Event is cancelled for any reason whatsoever before its commencement, MCI must promptly notify the Sponsor in writing and provide reasons, and both parties are discharged from further performance of their obligations under this Agreement, excepting that obligations contained in this clause, and provisions that survive upon the termination of this Agreement, remain binding on the parties; and
  • MCI must, within 90 days of cancellation, reimburse all monies paid by the Sponsor under this Agreement, after deduction of reasonable expenses already incurred by MCI in connection with this Agreement, up until the time of cancellation of the Event.
  • If the Event is cancelled for any reason whatsoever during the Event, MCI must promptly notify the Sponsor in writing and provide reasons, and both parties are discharged from further performance of their obligations under this Agreement, and provisions that survive upon the termination of this Agreement remain binding on the parties and APAIE.
  • MCI must, within 90 days of cancellation, reimburse such portion of the monies paid by the Sponsor as reasonably reflects the reduction in value of the sponsorship benefits to which the Sponsor is entitled under this Agreement, and after deduction of reasonable expenses incurred by MCI in connection with this Agreement, up until the time of cancellation of the Event.
Termination

On termination of the Agreement by either party for any reason:

  • All Sponsorship Benefits and all Sponsorship Contributions cease, provided that the Sponsor must pay all Sponsorship Contributions payable to MCI that are due and payable under this Agreement up to and including the date of termination;
  • The Sponsor must cease referring to itself as a sponsor of MCI, the Host or the Event, as the case may be;
  • MCI must, at the option of the Sponsor, return to the Sponsor or destroy all information, promotional and other materials in its possession that contain any such reference;
  • Each party must cease making further use of the Intellectual Property of the other party.
  • Such termination is without prejudice to any and all rights and remedies which had accrued to the benefit of the parties to the date of termination.
You and your staff onsite
  • Your application to sponsor and/or exhibit does not constitute an attendee registration. You will need to register separately online.
  • All exhibition staff must be registered online, i.e. complimentary exhibitor registration, or by purchasing additional exhibitor staff registrations.
Print entitlements
  • Logos and other printed material may, at our sole discretion, be reproduced in colour (where possible), OR the nominated conference spot colour/s, OR mono, depending on method of production.
  • The sponsor must provide suitable material to meet our publication requirements and deadlines.
  • Please provide all material at 300 DPI at 100% in JPEG (preferred for website) AND EPS (preferred for print), including, where possible, RGB or Pantone colour equivalents.
  • Where applicable, advertisements are to be supplied by the sponsor.
  • No print or web recognition will be given unless payment terms have been met.
Sponsor notes
  • All sponsor functions must be endorsed by the APAIE 2027 conference managers.
  • Serving of alcohol at the APAIE 2027 exhibition is not permitted due to local customs.
  • Failure to notify or receive approval for hosting a sponsor function during APAIE 2027 may result in forfeiture of sponsorship fees/entitlements.
Exhibitor notes
  • You may not assign, share, sub-let, or grant licences for the whole or part of the booth without our prior approval. Please email the APAIE Sponsorship and Exhibition Managers for further information.
  • Unsolicited promotional items that are placed outside of the allocated exhibition booth space, including but not limited to flyers, mascot characters and other branded merchandise, is not permitted. We reserve the right to issue a warning and ask you to remove any display items we deem as unacceptable.
  • We reserve the right to ask you to remove any display items we deem unacceptable.
  • You must conduct business only from within the confines of your booth. You may not tout, or place any material outside your booth/space causing obstruction of the aisles.
  • You will be responsible for any reasonable costs of repairing the booth or premises should you paint, mark or damage any fixtures or fabric.
  • Food, beverage or prohibited items are not permitted at the event unless prior arrangements are made with the conference managers.
  • Any supplier you use onsite must conform to the venue's OH&S, insurance and other regulations.
  • You are solely responsible for any physical loss or damage to your own property.
  • It is recommended that you hold a current public liability insurance policy for your participation in the exhibition. The minimum coverage for local requirements is MYR $1,000,000. If you have not already done so, please forward a copy of your public liability insurance to sponex@apaie.net by Friday 5 February 2027.
Privacy statement
  • Your name and contact information, including electronic address, may be used by parties directly related to the event such as the organisers and approved stakeholders, for relevant purposes such as promotion, networking, and administration of this and future events of this type. If you do not consent, please advise us.
  • In addition, your name, organisation and country/state of origin may be published on the list which is provided to delegates, exhibitors and sponsors at the event. If you do not wish your details to be included in this list, please contact us.

Pre-event

Registration and accommodation

All personnel arriving onsite must be registered. As a sponsor and/or exhibitor, you are entitled to a number of complimentary registrations as per the sponsorship package or number of booths confirmed.

Each sponsor and/or exhibitor organisation will receive a registration code, which can be distributed to your assigned delegates to submit their complimentary registration using the Registration Form.

Registrations must be submitted by Friday 5 February 2027.

Registration instructions

  1. Visit the APAIE 2027 Conference and Exhibition Registration Form.

  2. Enter the email address to be used for the registration. A unique email address must be provided, and all details must be submitted within 20 minutes.

  3. Provide consent for the relevant categories and enter your personal contact details.
  4. Under Registration Classification, select Sponsor or Exhibitor.

  5. Select the registration category on the next page, and enter the discount code provided in your confirmation email.

  6. Indicate your attendance at the Welcome Reception and any optional add-ons, such as pre-conference workshops and post-conference campus tours (additional charges may apply).
  7. Finalise your registration by checking all the details provided, and process payment for any optional add-ons.
  8. Submit your registration and receive the confirmation email.

Accommodation

Preferential accommodation rates are being negotiated for APAIE 2027 at selected hotels in Kuala Lumpur.

A complimentary shuttle bus service will be provided from selected hotel locations to MITEC. Details will be provided to attendees once confirmed.

Public liability insurance

It is recommended that you hold a current public liability insurance policy for your participation in the exhibition. The minimum coverage for local requirements is MYR $1,000,000.

To submit your Certificate of Currency (CoC), please upload it to the Exhibition Portal, or email a copy to sponex@apaie.net.

All CoCs must be submitted by Friday 5 February 2027.

Freight forwarding and delivery logistics

Deliveries are only permitted during the official move-in and move-out periods, unless prior arrangements have been made with MITEC or the Conference Managers. Any item delivered outside these periods without prior arrangement will be removed from MITEC's premises at the exhibitor's expense.

Goods must be delivered to the Main Delivery Gate at West Gate, and from there to the Hall 9–11 loading dock.

Loading dock operational hours are 07:00–23:59 during move-in. If you are using an external freight forwarding company, see the delivery timings below.

APAIE 2027 official freight forwarder

An official freight forwarding partner will be engaged to assist and streamline your exhibition logistics. Booking details and documentation will be shared here once confirmed.

Using external freight forwarding companies

If you are using an external freight forwarding company, deliveries can only be made during exhibitor move-in, 13:00–17:00 on Sunday 21 March 2027.

MITEC and the APAIE Conference Managers will not accept or take responsibility for any courier shipments consigned to the exhibitor.

Please ensure all items are clearly labelled with the event name, organisation name, booth number and contact details.

Set-up

Bump-in and onsite safety

Exhibitors and contractors will not be allowed into the exhibition halls during move-in unless a high-visibility vest and appropriate PPE (such as closed-toe shoes) are worn. Anyone not complying will be refused entry until properly equipped.

  • No children under the age of 16 are allowed during bump-in and bump-out.
  • No alcohol can be consumed during bump-in or bump-out.
  • Exhibitors involved in hand-held item move-in on Sunday 21 March from 13:00–17:00 must present a valid name badge to enter the exhibition halls.

Loading dock

The loading dock is accessible via the Main Delivery Gate at West Gate. From there, head straight to Loading Bay 9–11 (direct access into Halls 9–11).

  • Vehicles may park for 30 minutes for loading and unloading, with the engine switched off.
  • No vehicles may park at the loading dock overnight, or during conference days, without prior approval from the MITEC Security Department.
  • Loading dock roller door dimensions: 4.6 m H × 8 m W.

All non-official contractors and exhibitors requiring loading dock access must have a Vehicle Entry Permit (VEP). VEPs will be issued and managed by Pico International closer to the event date.

Exhibitors and contractors (including external freight forwarders and external stand builders) may be held in a holding area to allow for effective traffic management.

No equipment or pallets are to be left in the loading dock. Unauthorised items will be disposed of without further notice.

Storage of materials

No storage is permitted within the exhibition hall or behind the booth for safety reasons. Exhibitors that require storage need to accommodate a storage area within their designated booth space. Lockable cupboards are advised for security.

Security

MITEC provides general venue security during APAIE 2027. Exhibitors may order additional security for their booth from the MITEC in-house security service, at a fee. Visit the MITEC Exhibitor Order Portal for more information.

General code of conduct

All staff from the sponsor or exhibitor organisation must be registered to attend the APAIE 2027 Conference and Exhibition with an appropriate registration type.  

For sponsors, hosted speakers for the sponsored program (such as APAIE Theatre and Breakfast Seminar sessions) must also be registered. Suitable registration types for hosted speakers include full delegate, sponsor registration and exhibitor registrations for sponsors with an exhibition presence.  

No solicitation is allowed, without agreement from the communication’s recipient, through the APAIE 2027 Conference and Exhibition app or provided emails on the APAIE 2027 delegate list.  

Consent for sponsor/ exhibitor communication with individual APAIE 2027 delegates is taken as received through the delegate sharing their details with the sponsor, or agreeing to connect with the sponsor/ exhibitor through the conference app (QR-code scanning).  

Staff and sub-contractors of sponsors/ exhibitors are considered representatives of the sponsor/ exhibitor, and any inappropriate behaviour of the individual will be the responsibility of the sponsor/ exhibitor. 

All staff from the sponsor/ exhibitor organisations must act appropriately towards one another and APAIE 2027 delegates and staff.

Where possible, sponsor/ exhibitor organisations are to nominate one or two key contacts as representatives to liaise with the APAIE 2027 Sponsorship and Exhibition Managers on all entitlements in the lead up to the conference. The representative is to be responsible for communicating to all organisational staff the process and updates from the APAIE 2027 Sponsorship and Exhibition Managers. Where possible, avoid having multiple representatives within the same organisation working with the APAIE 2027 Sponsorship and Exhibition Managers, to allow for clear and consistent messaging.

Exhibition supplier

Pico International is the official stand builder for the APAIE 2027 Conference and Exhibition.

Pico International will send the link, username and password for the Online Exhibitor Concierge within 14 days of your confirmation as an exhibitor. Please use the portal to complete the forms for your stand requirements, including fascia and signage, lighting and power, stand modifications, and additional or modified furniture.

Custom stands (space only)

For space only booths, a custom design must be erected on the floor space. Please follow these guidelines for custom builds:

  1. The maximum booth height must not exceed 4 metres.
  2. All stands are required to have corner guards or rounded edges. Any elevated flooring in the stand design must feature a gentle slope with no sharp corners. Caution tape, at your own cost, is required at all floor edging that may cause a hazard to delegates.
  3. No solid walls or full partitions are to be built on the perimeter of a space only or island booth.
  4. Partition walls along the perimeter should not cover more than 40% of the length, and inside partitions must not obstruct the view or aesthetics of adjoining booths.
  5. Free-standing space only exhibitors must maintain a minimum of 60% transparency across the space to enhance visibility of neighbouring exhibitors.
  6. All partition walls above 2.5 m that face neighbouring booths or aisles must be cladded and painted with a white finish.
  7. Booths with a minimum footprint of 24 sqm are welcome to rig within the airspace above their stand. MITEC holds exclusive truss and hoist rights for all exhibitions. The minimum ceiling height for rigging is 5 m to allow for sight lines, and the maximum weight per hanging point is 500 kg per square metre on the mother truss. Any booth with a rigging structure must also submit a Professional Engineer (PE) endorsement. Rigging details must be submitted at least 30 days before the move-in date for review, approval and quotation. Submissions received less than 14 days before move-in will incur an additional 20% surcharge from MITEC.
  8. Any door in the stand that does not provide an alternative means of egress must have a "NO ENTRY" sign affixed to it.
  9. Only water-based paints are allowed onsite. Washing paint brushes in MITEC toilet facilities is strictly prohibited.
  10. If fabric is used in the booth design, please have its fire-retardant certificate available onsite as proof. Fabrics and materials treated with fire-resistant solutions should not be painted over with water-based paints.
  11. No multi-level structures may be built on the purchased exhibition space.
  12. Transporting, assembling, dismantling and removing stands for space only exhibitors is the responsibility of the exhibitor's stand builder. All such work must be carried out within the build times specified in this manual, unless prior approval has been given.
  13. Custom stand builders are responsible for removing their own building waste and off-cuts from the venue at the end of each day.

Custom stand approval process

  1. The exhibitor or custom stand builder submits stand plans to sponex@apaie.net.
  2. The APAIE Sponsorship and Exhibition Managers provide feedback against the custom stand guidelines.
  3. The APAIE Sponsorship and Exhibition Managers pass the plans to MITEC for secondary review.
  4. The APAIE Sponsorship and Exhibition Managers advise the exhibitor or stand builder of the approval status and any comments from MITEC.

All custom stand designs must be approved by both the APAIE Sponsorship and Exhibition Managers and MITEC. Please email your plans to sponex@apaie.net by Friday 22 January 2027. Your submission must include:

  • Detailed scale drawing with proposed 3D design, dimensions and height, including plan views and side elevations (professional drawings, no hand sketches)
  • Description of materials to be used for the stand construction, with full measurements
  • A plan showing the stand's location within the exhibition
  • A risk assessment, including fire hazards, and a method statement
  • Flooring type and dimensions
  • Rigged banner hanging details, including rigging plot and weight load calculation (if applicable)

Onsite experience

Catering and hosted networking receptions

Catering

MITEC has exclusive catering rights for all events at the venue. External caterers are strictly not permitted.

MITEC reserves the right to confiscate any food and beverages delivered without approval or corkage payment, and may hold them until requirements are met. Consumption of outside food and beverages is strictly prohibited within the building.

To request additional catering, visit the MITEC Exhibitor Order Portal and search for APAIE 2027 under the event name.

Hosted booth receptions and VIP visits

As an exhibitor, you are welcome to host a networking reception at your booth within the exhibition opening hours.

All hosted booth receptions must be forwarded to sponex@apaie.net for approval. Unsolicited receptions or functions that are held in competition with the APAIE Conference and Exhibition program is not permitted.

To organise catering and beverages, request a quotation via the MITEC Exhibitor Order Portal. Once your order is submitted, email sponex@apaie.net with:

  • Exhibitor name
  • Booth location/number
  • Reception date and time

Serving alcohol at APAIE 2027 is not permitted due to local customs.

For any VIP visits, during a hosted reception or at other times, please email sponex@apaie.net with:

  • Exhibitor name
  • Booth location/number
  • VIP name(s)
  • VIP visit date and time

The APAIE Sponsorship and Exhibition Managers will review your VIP visit request and respond accordingly.

Internet and parking

Internet

MITEC provides complimentary wireless internet at 8 Mbps (shared), but signal cannot be guaranteed. Exhibitors can order individual connections with greater bandwidth from the MITEC Exhibitor Order Portal by Friday 5 March 2027.

Parking

MITEC's car park is an automated system managed by an external operator.

Electric vehicle (EV) parking and charging: three EV charging bays are available in Basement 1 near the centre escalators. Scan the QR code at the machine and pay by QR code or bank card.

Conference app and lead-tracking technology

Login details to the conference app will be sent out separately, closer to the event date. The conference app will provide all delegates (including sponsors and exhibitors) the ability to view the conference program, floor plans, create connections through name badge scanning, and meeting scheduling.

Lead-tracking technology will be provided to registered sponsors and exhibitors, so you leave with a record of your customer interactions to follow up after the event. All exhibitors will receive a unique login to the conference app, which gives access to the lead-tracking function. This specific function is not available to regular conference delegates.

If anyone from your delegation is registered as a delegate, please email sponex@apaie.net so we can allocate them to your exhibitor organisation profile. Anyone not allocated to an organisation profile will not be able to access lead tracking.

All attendees will have an individual QR code on their name badge. When you are onsite, you can scan delegates' QR codes, and recorded leads are collected in a GDPR-compliant, exportable CSV file.

Please follow the below instructions to activate and access lead capture:

  1. Download the APAIE 2027 Conference and Exhibition app.
  2. Login to the app - Once downloaded, login using the email used for the registration, then select 'Send me a login link'. You will receive an email from MCI Australia, and select 'Authorise Login' to log onto the app.
    Upon your initial log in, you will need to set a password and select the relevant privacy settings. Please note that you must have your own unique email address to log in.
  3. Accept team invitation - Select 'My Event' on the bottom panel, and select 'Accept Team Invitation' to join your exhibitor team.
    You will not be able to access lead capture if you don't accept the team invitation.
  4. Scan delegates - From here, select 'Scan' to start scanning the QR codes on delegate name badges. Please hold name badges roughly 20cm from your device camera, and green screen will indicate a successful scan. Click 'Continue scanning' to scan another delegate, or 'View Profile' to add notes and view attendee's details.
  5. Export leads - You can export a list of your captured leads at any time. To do this select 'My Event', then go to 'View All Leads' before selecting 'Download Leads' on the top banner. Exportable leads will include the following information:
    1. First name
    2. Last name
    3. Organisation
    4. Position
    5. Email address
    6. Contact number (if provided)
    7. Country/region
    8. Lead scanned date and time
    9. Name of representative who scanned the lead
    10. Responses against qualifying questions (completed by the representative)
  6. Add qualifying questions - You can also customise qualifying questions by going to 'View Company Portal' and select 'Qualifying Questions'. To enter the responses against the qualifying questions after scanning an attendee's name badge, select 'View Profile' and select 'Manage Qualifying Questions'.

To have lead tracking set up before you arrive, please complete the allocation of registrations by Friday 5 February 2027.

Regional pavilions co-exhibitor listing

If you are organising a Regional Pavilion, please provide a list of participating co-exhibitors using the following format:

To ensure all co-exhibitors are listed on the website and in the conference app, please submit co-exhibitor information by Friday 5 February 2027.

Company profile and logo

Please upload a short 50-word company profile (including a contact email address) and a high-resolution logo (.JPG) through the Exhibition Portal, or email them to sponex@apaie.net. The link to your Exhibition Portal is in your confirmation email.

This information will be used in the exhibitor listing in the conference app.

For sponsors, please also email your logo as an EPS/AI vector file to sponex@apaie.net, as this format is required for all printed signage.

Post-event collection

Bump-out and removal of goods

Exhibitors and contractors will not be allowed into the exhibition halls during move-out unless a high-visibility vest and appropriate PPE (such as closed-toe shoes) are worn. Anyone not complying will be refused entry until properly equipped.

Please ensure at least one staff member is rostered on during move-out, or while any product or equipment remains on your stand. The Conference Managers and MITEC take no responsibility for these items, and we strongly advise having a representative present.

Exhibitors must make adequate arrangements to remove rubbish from their stand at the end of the exhibition. Exhibitors who fail to remove waste will be charged for additional cleaning and any other costs incurred.

Freight collection

The exhibition closes at 15:45 on Wednesday 24 March 2027. All items must be removed from MITEC by 23:59.

Make sure all boxes are marked and your consignment note for the courier is completed and attached. The venue and Conference Managers will not complete or sign courier documents.

If you have organised freight collection and delivery through the official freight forwarder, please use their outgoing labels and documentation so their team can sort and collect your packages from your stand.

Outgoing freight must be organised before you leave. Please ensure you have:

  • Labelled your freight correctly (return address, contact name, phone number, item numbers, etc.)
  • Organised freight pick-up with your freight company
  • Completed your consignment note for the courier

Any items not organised for pick-up by 23:59 on Wednesday 24 March 2027 will be discarded at an additional cost.
