For space only booths, a custom design must be erected on the floor space.
This year, we have implemented the following guidelines for custom builds:
- The maximum booth height must not exceed four (4) meters.
- All booths with a minimum footprint of 24sqm are welcome to rig within the airspace above their stand. The minimum ceiling for rigging is 5m to allow for sight lines in the exhibition.
- No solid walls or full partitions are to be built on the perimeter of a space only or island booth. All partition walls along the perimeter should not cover more than 40% in length, and the inside partitions shall also be such that they do not obstruct the view or aesthetics of adjoining booth(s).
- All designs with wall / partition above 3m in height should be built with a clearance of 0.5m distance away from the edge of the booths.
- For free standing space only exhibitors, there must be a minimum of 50% transparency across the space to enhance visibility of neighbouring exhibitors.
- All partition walls above 2.5m that are facing neighbouring booths or aisle must be nicely clad and painted finish.
- Any elevated flooring included in the stand design must feature a gentle slope with no sharp corners. “Caution tape” at your own cost is deemed necessary at all edging of the floor that may cause hazard to delegates.
- Any door incorporated into the stand which does not provide an alternative means of egress, must have a “NO ENTRY” sign affixed to it.
- In the event of using fabric as part of the booth design, kindly provide the certificate of fire retardant as a proof on-site, if any.
- No multilevel structures are allowed to be built on the purchased exhibition space.
- The transporting, assembling, dismantling and removing of stands for space only exhibitors are the responsibility of the exhibitor’s allocated stand builders. All such work has to be carried out according to arrangements and within the build times as specified in the exhibition manual, unless prior consultation and approval has been provided.
Please also note the following requirements from the HKCEC:
- Adhesives
- Only water-based adhesive products may be used in permissible areas.
- Floor covering
- Any materials used over carpeted or hard floor areas must be of a nature that does not lead to slipping (even when damp or wet) or other safety issues.
- Paint
- Only water-based paint may be used onsite.
- Glass Panels
- All glass panels and glazing used in the construction of Stands must consist of safety glass (laminated or tempered). Any large uninterrupted areas of clear glazing must be readily visible to all, e.g. by the application of warning stripes, dots, logos, or similar markings.

Custom Stand Plan Submission #
It is the responsibility of the exhibitor to share this manual with any contractors or stand builders to ensure they comply with the necessary requirements.
All design proposals must follow all statutory requirements and must include the following:
- A detailed scale drawing with proposed 3D design, detailed dimensions and height and major exhibits.
- Elevation views, clearly showing all dimensions and graphics.
- Structural calculations/drawings proving structural stability, weight loadings, etc.
- Indications of electricity requirements.
- A plan showing its location in the exhibition.
- Details of materials and fire protection.
Please submit your custom stand plan to sponex@apaie.net no later than Monday 12 January 2026. These must be submitted by the exhibitor or their appointed contractor.
